Herman Law, a nationally recognized firm dedicated to advocating for survivors of sexual abuse, operates across multiple states with hubs in New York, California, Florida, and New Jersey. With over 4,000 cases in litigation at any given time, the firm needed a case management platform that could scale with its growth, streamline workflows, and organize vast amounts of sensitive data.
Eva Herman Marcin, who leads operational strategy and process development for the firm, and John Callaghan, who oversees case data administration and Neos customization, took the lead in evaluating and implementing a new system. Together, they’ve built a highly customized, data-driven practice within Neos that has transformed how Herman Law handles everything from trial prep and document tracking to team productivity.
Herman Law’s previous case management system presented major limitations in organizing and connecting related data across each case. With thousands of active matters and large teams working on discovery, scheduling, and client communication, the firm struggled to granular details needed to move litigation forward.
“We needed to have the ability to customize tabs to organize our data. We were unable to connect data points together that related to the same thing… We also needed more reporting capability to track these key dates and information.” - Eva Herman Marcin
Without true list view functionality, teams were forced to create flat fields for each new entry. This led to disorganized layouts, repeated data entry, and no way to run meaningful reports or monitor case progress. As the firm grew, so did the complexity, and the cracks in the system became impossible to ignore.
Neos gave Herman Law the flexibility to build workflows that reflected how their firm actually operates. The team designed highly tailored flat and list view tabs, enabling them to input structured, repeatable data across thousands of cases. This includes a custom “Witness/Depos” tab where the team tracks each contact’s role, status, and next steps in one place.
“Customizability—the ability to create custom list views and flat tabs that we can name and format the way we want.” - Eva Herman Marcin
Neos’ layout manager also allowed the team to create layouts specific to each case type. This was essential for a firm working across multiple jurisdictions, each with its own requirements. Herman Law now uses different structures for different litigation types, ensuring only the relevant data appears on each case.
“We wanted the ability to keep information regarding important case dates, discovery, witnesses, and the progress of each case under one profile for each client.” - Eva Herman Marcin
“We have so many differences between states. The things we need for each state are completely different, so [being able to add new custom fields] is really helpful.” - John Callaghan
Neos dashboards have become essential to the day-to-day work of Herman Law’s attorneys, paralegals, investigators, and administrative staff. These dashboards give every user real-time visibility into key reports helping them manage everything from discovery and checklist tasks to witness tracking and record review.
“We are able to use reports to act as to-do lists for our support staff working on different aspects of each case. All of our staff use dashboards to keep track of all of their custom reports. They have reports to track their checklist items, discovery, witnesses, key case dates, and much more.” - Eva Herman Marcin
By surfacing the right data at the right time, dashboards help ensure nothing slips through the cracks. When cases approach trial, the team uses clickable reports that link directly to the related data, saving time and increasing efficiency.
For a firm managing thousands of active matters, efficiency is everything. Neos’ advanced search and bulk-editing features have enabled Herman Law to make quick changes across multiple cases. This has saved hours of manual updates and reduced repetitive work.
“We have a field called ‘Last Client Contact’. In the past, you had to go into each case manually. But now, you can just use advanced search and highlight all those cases and update it at once.” - John Callaghan
This functionality supports everyday work and large-scale case reassignment projects. It’s made a measurable difference in how quickly the team can act and adapt.
Another critical upgrade has been Neos’ ability to integrate with the tools the firm uses every day. One favorite is the Outlook Add-In, which lets staff tag emails and save documents directly to a case file without needing to leave the platform.
“It is very helpful to have the ability to tag emails from Outlook into a case and save documents through that same tagging process.” - Eva Herman Marcin
The team also links key records and materials to individual entries within Neos. Attorneys can easily review documents from their dashboards and mark them as complete, keeping workflows moving smoothly.
Neos has become the operational core of Herman Law’s nationwide practice. From customized layouts and advanced reporting to seamless collaboration across 200+ users, the platform has empowered the team to work faster, stay aligned, and scale effectively.
“You should absolutely make the switch to Neos. It is an incredible tool that will exponentially increase firm productivity and efficiency.” - Eva Herman Marcin
While the data migration from their prior system presented some challenges, Eva credits the Neos implementation and support teams for their responsiveness and partnership throughout the process.
“Since joining Neos, we have worked closely with the Neos product and development team to continue to improve Neos, making it what I believe to be the best case management software on the market.”
